Group Leader Frequently Asked Questions (FAQ)

  • Can I cancel an activity on the day?

Yes. If conditions are unsafe or support requirements cannot be met, you can cancel or postpone the activity. Let your Contact Ranger know as soon as possible.

  • Do I approve activities or does Parks Victoria approve them?

Parks Victoria approves all volunteer activities. As a Group Leader, you work with your Contact Ranger to plan activities and confirm what is required. Rangers are responsible for approving activities, so they are supported, and volunteers are covered by insurance.

  • When should I stop an activity?

Stop or pause an activity if:

    • Someone is injured or unwell
    • Conditions change and risks cannot be managed
    • Required supervision, equipment or PPE is not available

Group Leaders are supported to prioritise safety when making decisions. When in doubt, stop and check in with your Contact Ranger.

  • What if a volunteer refuses to follow safety instructions?

Pause the task and speak with the volunteer. If the issue continues, stop the activity for that person and contact your Contact Ranger for support.

  • What if a volunteer fails to meet expectations?

Most concerns can be resolved through a respectful conversation. If an issue arises:

    • Pause the activity if safety is affected
    • Speak with the volunteer privately and clearly
    • Refer to shared expectations or safety guidance
    • Offer support or alternatives where appropriate

If the issue continues or you need support, contact your Contact Ranger. Rangers can help guide next steps and, where needed, support formal processes.

  • Do volunteers need to complete inductions every time?

A site orientation and safety briefing is required at the start of every activity, even for returning volunteers.

  • Which volunteers need a Working with Children Check?

Only volunteers who are required to hold a Working with Children Check under the Workers Screen Act 2020 need one. If unsure, contact Services Victoria helpdesk, who can advise on your particular activity. Application and support information is available through Service Victoria

  • Who do I contact if I cannot reach my Contact Ranger?

If you cannot reach your Contact Ranger and there is an urgent safety concern, contact the Parks Victoria Information Centre on 131963. For nonurgent matters, follow up with your ranger as soon as practical.
